Privacy Policy at DOLL-WORLD

DEFINITION OF TERMS USED

The following terms used throughout this policy are defined as follows:

• “Us / We / Our / DOLL-WORLD / website / site” regardless of capitalization, refers collectively to the online domain and business/community platform known as DOLL-WORLD, as well as personnel associated with DOLL-WORLD that potentially have access to personally identifiable information.
• “You / Your”, regardless of capitalization, refers in general to anyone who, in the process of interacting in any manner with DOLL-WORLD, provides personally identifiable information.
• “Personal information / personally identifiable information / PPI” refers to any information that may be used to identify a specific person, such as name or contact information or account information.

GENERAL USE AND RETENTION OF INFORMATION

Some functions of our website may depend on PPI provided by you as part of your account sign-up or in relation to your access to certain website features. If you provide PPI to us at DOLL-WORLD, we will respect your privacy and retain your name, address, phone number, and email information only to conduct the type of business corresponding with the nature of your interaction with us, and in accordance with prevailing law in our location (Tennessee, USA). We will not share your information with any third party, except as described below, to facilitate proper function and processing on our site.

THIRD-PARTY INFORMATION ACCESS

Our website files are stored on a remote third-party hosting server. We employ back-end third-party secure plugins on our site to streamline many processes to make our website function properly. These third-party mechanisms will collect and process the information necessary to complete designated functions on our website such as transaction processing, navigation, and search capabilities. These plugins are designed and intended to function in a secure hosting environment.

COOKIES

Personalized tracking codes. Some plugins used on our site may temporarily store web tracking codes called “cookies” on the device you use to access DOLL-WORLD. These cookies facilitate navigation of our site and delivery of certain account information. Some identification cookies may be required to deliver information you have requested from our site, such as newsletter subscription. If you set up your account to receive information from us that depends on the use of cookies, then access your account with a different device that doesn’t contain those cookies, you may find account information difficult or slow to access. If you clear your device cache and erase cookies from your device, then later revisit our site, navigation may not be as quick or smooth as in previous visits, and you may find that subscription functions may not behave as desired or expected.

ORDERS AND PAYMENTS

Information gathered during a purchase. For purchasing purposes, we will obtain required personal information from you only to complete current transactions with you. We retain this information in archival ordering history for our business and accounting purposes, such as displaying your account details and ordering history to you as you request it through our website. We will not contact you or use your information for any purpose except to provide necessary support to complete transactions initiated by you. We will not share your information with anyone or any mechanism except third-party plugins/portals we use to facilitate website transaction and maintenance/storage processes associated with purchase and payment on the DOLL-WORLD website.

Payment through PAYPAL. In addition to the back-end third-party secure plugins used on our site to streamline the ordering process and make our website function properly, we employ a secure front-end payment processing portal managed by PAYPAL, an independent corporation that provides payment processing services. The portal allows you to pay for purchases from our site either with your existing PAYPAL/VENMO account or with a major credit/debit card recognized as valid by PAYPAL. You are not required to have a PAYPAL or VENMO account to use a credit card for payment. The PAYPAL payment portal collects payment information, including credit card numbers or PAYPAL/VENMO account information, and stores the information for the purpose of completing the sale and sending payment confirmation via email to both you and us. We receive only shipping and order information from PAYPAL, not credit card information or other account information.

USER ACCOUNT

Site access and general account information. Information pages and many sections of the DOLL-WORLD website are accessible to the general public, including reference pages, and blog posts. Access to view these sections does not require an account. Access to other sections and functions of the DOLL-WORLD website, such as commenting on blogs, reading and commenting on forums, or purchasing shop items, requires account setup and login.

Personal account information. If you set up an account with DOLL-WORLD, your personal information will be stored on our web site host server under your account profile. Depending on the type of account you set up, PPI you provide could include a profile picture and/or biographical summary, a username you choose, as well as your legal name, address, email, and phone number. We will retain your information to allow you to return to our site and access the features available with your account. Your account details and profile information (but not password) will be accessible to account administrators for the purpose of maintaining your account.

Login credentials. In order to access secure information in your account on our website, you will need to use your login credentials to sign into your account. Passwords you may have set up at the time of creating the account will not be accessible to site administrators and cannot be retrieved by administrators. If you need to gain access to your account but cannot use your credentials, you may be required to reset your password. Password-reset is an automated process that will require you to have access to the email account associated with your DOLL-WORLD account.

Providing personal information for public display. Our site offers users the opportunity to provide some profile information that will be publicly viewable by other site members as well as non-member site visitors. Information of this nature may include the user’s biographical summary, location, social media contact information like Twitter “handle” or Facebook page, etc. We strongly recommend all users think twice about providing too much publicly identifiable information, as we have no control over who might visit our site, or how they might choose to use personal information made publicly available by users. Users should never provide personal email addresses, mailing addresses, phone numbers, or other contact information for generic public viewing. If location is provided by a user, it’s best to identify a state or province, or just a country, rather than a specific town where the user actually lives. In providing personal information for public display, users should carefully reassess information they have provided to ALL social websites and media sites, including Facebook, Twitter, TikTok, etc.

Using pseudonyms publicly. Mechanisms are in place on our website that allow all users to choose a pseudonym Display Name with which they can be publicly addressed on our site. Display Name will be shown when a user makes a comment on a blog or forum topic. Other public profile information may be displayed to forum members or if the user authors a blog post, and their user profile public information is compiled to create an Author bio. We strongly advise every user to employ a Display Name that is unique to them but does not provide enough information to identify them personally. The Display Name a user chooses should not contain enough of their real name to make them publicly identifiable. Display Names that use the first name combined with a last name initial are acceptable, but using the complete first and last name would make the user publicly identifiable in a real way and possibly expose them to unscrupulous activity by others. The user should not employ the account Username for a Display Name, because the Username is tied to account login access. We advise using caution when deciding how well a user wants to be identified personally in any public setting.

Deleting your account. If you delete your account, all your personal information will be deleted, with the exception of transactional information as described below. If you want to delete pictures and/or blog articles you previously posted to our site, you must specifically request that information be deleted, or delete it yourself before deactivating your account. Note that any comments left on blogs or forums may have legacy retention that we cannot delete due to the archival persistence of internet information.

TRANSACTIONAL INFORMATION

Purchases from our shop. Users who purchase items from our site will, in the course of completing the purchase, provide certain personal information such as name and address. This PPI for purchases information is normally retained for business and accounting purposes, and will be kept in our business files. This retention is necessary for income and tax documentation required by the US government, and may need to be retained for seven years, after which time it may be deleted. This information will not be used for any purpose except as described herein.

Private messaging for personal purchase transactions. If private messaging is available, it may be used for site members to negotiate and complete private purchase transactions. We do not participate actively in that process and cannot control how personal information provided by a member is used by other members who receive that information. We advise all members to use caution and common sense when providing personal information to other members. NEVER provide birthdate, Social Security number, or bank or credit card account information, as this information is never necessary to complete a purchase transaction. We will immediately ban anyone asking for such information, if reported. We advise using trusted third-party apps to initiate and collect payments between individuals, so that bank account or credit card information is masked by the payment app and is not revealed in the process of making or collecting a payment. For retention purposes, private messages are considered the same as comments on our website, as described below.

COMMENTS AND MESSAGES

The general nature of comments. Comments like blog comments, forum comments, or private messages, are considered incidental voluntarily provided information when posted to our site, and become part of our copyrighted website content when posted. Members who post comments do so with the knowledge that they do not retain ownership of said comments once they appear on our website. We reserve the right to do whatever we deem fair and necessary to curate comment content – delete it, relocate it, reuse it, or handle it in any other way that does not violate prevailing usage laws or negatively impact personally protected information that may be included in such content. Due to its publicly visible nature, we cannot predict or prevent how comment content visible on our website will be used or misused by website viewers, although we do post a copyright notice on every page of our website with the expectation that this provides basic copyright protection for said content. We may provide mechanisms for users to edit their comments or delete them, but do not guarantee that feature to be present or to be functional in perpetuity. Comments are considered legacy information that will be retained intact for the same duration that the original content related to the comments remains on our site. Due to the archival nature of the internet, we cannot guarantee that original content and related comments won’t still be accessible in some cached form even after the original content is no longer available on our site.

PPI and comments. When users of our website comment on blogs or forums, our standard advice for all users is NOT to include any personal information (phone numbers, addresses, real names, etc.) they do not want to be publicly visible and indefinitely retained as accessible on the internet. We advise all users to employ a public pseudonym such as a Display Name, rather than their real name or account Username. We may monitor comments and delete portions that violate PPI policy adherence, but cannot guarantee we will detect and deal with every instance of PPI policy violation. In the case of private messaging, the user should practice caution in choosing when to reveal PPI that might be used to identify them personally outside the scope as a user of our website. Transactional activities through private messaging with other members may involve providing certain PPI like name, address, and payment account email. As stated under the “Transactional Information” section, we caution users never to provide more information than is necessary to complete the desired transaction. This PPI may be retained indefinitely on our website but will only be available to those originally able to view the private message, as long as they maintain account access to that area of our website.

NOTIFICATION SUBSCRIPTIONS

Newsletter Subscription. Anyone can subscribe to receive our email newsletters. An account with DOLL-WORLD is not required to subscribe to the newsletter, only an email address. Anyone who signs up for an account with DOLL-WORLD and also wants to subscribe to the newsletter will have to do both separately, as those two sign-up activities require different forms.

Other subscriptions. Members with an account can comment on blogs or forum topics and also choose to subscribe in order to receive email notification of follow-up comments on subscribed topics.

Subscribing requires DOLL-WORLD to retain certain information to service subscriptions. If you choose to receive notifications from forum or blog topics, or sign up to receive newsletter emails, we will retain your provided subscription information in order to send those notifications to you. While newsletters typically will be sent on an infrequent basis of no more than once weekly or monthly, subscriptions to blog or forum topics could create more frequent notifications, depending on communication traffic on our site. At this time we do not anticipate very high traffic volume because our site is new and unknown.

Canceling subscriptions and notifications. Newsletter subscriptions can be canceled by visiting your Newsletter profile or by clicking on the unsubscribe button included at the bottom of every newsletter. NOTE: Deleting your account with DOLL-WORLD will not delete your newsletter subscription – that must be done separately. Canceling subscriptions to blog or forum topics may require visiting your forum profile in order to change subscription status by unchecking subscription to certain topics. Canceling notifications or subscriptions does not affect the membership account.

SUMMARY

We maintain a secure connection for our website, as provided by our site hosting service. Our privacy policy encompasses our handling and maintenance of your personal information insofar as that information is directly under our control and maintenance. Web security of third-party service providers we use to host our site and process transactions remains the responsibility of those providers.
